Coached by Jake (ABN 62131858923) provides personal training and coaching services. We are committed to protecting your personal information and handling it in accordance with the Privacy Act 1988 , the Australian Privacy Principles, and the privacy reforms taking effect in 2026, which extend privacy obligations to small businesses and fitness professionals.
This policy explains what personal information we collect, why we collect it, how we use, store and protect it, who we share it with, and your rights in relation to it.
• Identity and contact details — your full name, date of birth, phone number, email address and, where relevant, emergency contact details
• Booking information — appointment dates, times, attendance history and cancellations
• Payment information — billing details and payment records. Card details are processed by our payment provider (see Section 5) and are not stored by us directly
• Communications — SMS messages, emails and in-app messages exchanged with you about your sessions, programs and progress
To deliver safe and effective training, we also collect health information, which is classified as "sensitive information" under the Privacy Act and receives a higher level of protection. This may include:
• pre-exercise screening responses, including medical conditions, injuries and medications
• fitness assessments, body measurements, weight and progress data
• training programs, exercise history and performance records
• any health information you voluntarily share with us during coaching
We only collect sensitive information with your consent and only where it is reasonably necessary to provide our services. You may decline to provide health information, but this may limit our ability to train you safely.
We collect personal information directly from you when you: enquire about or sign up for our services, complete intake or pre-exercise screening forms, book or attend sessions, make payments, or communicate with us by phone, SMS, email or through our client management platform.
We collect, hold and use your personal information to:
• provide personal training and coaching services, including designing programs suited to your health, goals and abilities
• schedule, manage and confirm your appointments
• process payments and manage your account
• communicate with you about your sessions, programs and progress, including by SMS
• screen for health and safety risks before and during training
• maintain business records and meet our legal and insurance obligations
We use SMS for client contact only — for example, confirming or rescheduling sessions. We do not send marketing messages by SMS.
We do not sell, rent or trade your personal information to any third party.
We use trusted third-party software providers to run our business. Your information is shared with, and stored by, the following platforms:
We use Everfit as our client management, program delivery and payment platform. Your contact details, health and screening information, training programs, progress data and payment records are stored in Everfit. Payments processed through Everfit are handled by its integrated payment processor (Stripe); your full card details are held by the payment processor, not by us. Everfit’s privacy policy is available at everfit.io.
We use Google Calendar to schedule and manage client appointments, linked to Everfit. Your name, contact details and appointment times are stored in Google Calendar. Google’s privacy policy is available at policies.google.com/privacy.
We may also disclose your information where required or authorised by law, to our insurers or professional advisers where necessary, or to emergency services or medical personnel if there is a serious risk to your health or safety.
Everfit and Google are based in the United States and store data on servers that may be located outside Australia, including in the United States. By providing your personal information and using our services, you consent to your information being stored and processed overseas by these providers. We take reasonable steps to ensure these providers handle your information in a manner consistent with the Australian Privacy Principles, including by using reputable providers with strong published privacy and security practices.
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification or disclosure, including:
• storing client information only in secured platforms (Everfit and Google) protected by strong, unique passwords and multi-factor authentication
• keeping devices used to access client information locked, secured and up to date
• limiting access to client information to those who need it to deliver our services
• not storing full payment card details ourselves
• reviewing our software, systems and security practices regularly
We keep your personal information only for as long as it is needed to provide our services and to meet our legal, tax, and insurance obligations. When your information is no longer required, we take reasonable steps to securely delete or de-identify it, including removing your records from Everfit and Google Calendar.
You have the right to request access to the personal information we hold about you and to ask us to correct it if it is inaccurate, out of date, incomplete or misleading. To make a request, contact us using the details in Section 12. We will respond within a reasonable period and will not charge you for making a request.
We maintain a data breach response plan. If a data breach occurs that is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme, and take steps to contain the breach and reduce any ongoing risk.
If you have a concern or complaint about how we have handled your personal information, please contact us first using the details below. We take complaints seriously and will respond within a reasonable time (usually within 30 days).
